PolyResonance Data Privacy & AI Usage Policy

1. Overview

PolyResonance is designed to support collaborative thinking and technical discussions while respecting data privacy and intellectual property. This policy explains how information entered into the platform is processed, stored, and protected.

2. How AI Is Used

PolyResonance uses third-party artificial intelligence models provided via the OpenAI API to generate responses and insights.

  • Data submitted to PolyResonance is processed by OpenAI solely to generate responses.
  • Data is not used to train AI models.
  • PolyResonance does not opt in to OpenAI data sharing for model improvement.
  • There is no mechanism by which data submitted through PolyResonance becomes public or accessible to other OpenAI customers.

3. Data Transmission & Processing

When users submit content:

  • The data is securely transmitted to OpenAI’s API.
  • Processing occurs in isolated request sessions.
  • Responses are returned only to PolyResonance.
  • OpenAI may temporarily retain data for limited purposes such as abuse monitoring and system reliability in accordance with their API policies.

4. Data Storage Within PolyResonance

PolyResonance controls what data is stored and how long it is retained.

  • Conversations may be stored to support collaboration and continuity.
  • Data is not shared with third parties for advertising or resale.
  • Stored data is protected using industry-standard security practices.
  • Organizations may choose to limit or disable data retention for sensitive discussions.

5. Public Access & Confidentiality

  • Data entered into PolyResonance is not published.
  • Data is not indexed or discoverable.
  • Data is not visible to other organizations or users outside your workspace.
  • PolyResonance does not make user content available to the public or to external AI systems beyond secure processing.

6. User Responsibilities

Users should not submit:

  • Export-controlled, ITAR, or EAR-restricted data unless explicitly authorized.
  • Information they are not permitted to share.
  • Highly sensitive personal data.

PolyResonance is a thinking and collaboration tool, not a document vault.

7. Third-Party Services

PolyResonance may integrate with trusted third-party infrastructure services (e.g., hosting, analytics, error monitoring). These services are selected to support reliability and security and are not permitted to use customer data for their own purposes.

8. Data Ownership

  • Users retain ownership of their content.
  • PolyResonance does not claim ownership of intellectual property submitted to the platform.
  • AI-generated outputs are provided for user use and evaluation.

9. Security

PolyResonance employs reasonable technical and organizational measures to protect data, including:

  • Secure data transmission (HTTPS)

  • Limited internal access to customer data

No system is perfectly secure, but PolyResonance is designed to minimize risk and exposure.
